Orchestra Manager

The Fort Collins Symphony announces an opening for Orchestra Manager. This is a part-time salaried position. This position will be open until filled.

Job Summary:

The Orchestra Manager is responsible for administering the personnel of the orchestra, including preparation and maintenance of payroll, budget forecasts and other records, scheduling of musicians, hiring of substitute and extra musicians, and coordination of auditions as defined in the Master Agreement. The Orchestra Manager is responsible for ensuring that the scheduling and production of all orchestra events (concerts, rehearsals, special events involving orchestra personnel) run smoothly, effectively and in a financially responsible manner as directed by the Executive Director. Also, the Orchestra Manager serves as a liaison between the conductor and musicians and the administrative staff and musicians, and the Board of Directors. The Orchestra Manager is present for orchestra rehearsals and concerts and is responsible for keeping FCSA in compliance with the Master Agreement.

Job Duties and Responsibilities:

Orchestra Personnel

  1. Maintain personnel database and submit personnel records as requested by the Executive Director or the Music Director.
  2. Maintain, in collaboration with principals, concert master, and music director, a current roster of musicians and provide a copy to all musicians annually, in cooperation with the FCSA Office.
  3. Maintain a select list of players suitable for hire as extras or substitutes.
  4. Collaborate with Music Director in hiring musicians; negotiate and execute individual contracts according to the Master Agreement, approved budget and policies set by the Board.
  5. Hire extra and substitute musicians consistent with the Master Agreement.
  6. Serve as the administrative spokesperson/liaison to the orchestra for policy issues in collaboration with Executive Director.

Orchestra Rehearsals and Performances:

  1. Collaborate with Operations to provide a completed stage setup form to the appropriate Lincoln Center contact person, by the specified deadline prior to each rehearsal and concert at the Lincoln Center.
  2. Attend all rehearsals and concerts.
  3. Maintain a record of attendance at each rehearsal and performance.
  4. Maintain a log of significant events in connection with rehearsals or concerts such as complaints, tardiness, failure to wear appropriate dress, and general deportment.
  5. Collaborate with Operations to arrange orchestral equipment needs for performances and off-site rehearsals.
  6. Provide five-minute call for rehearsals and notify conductor of the start and close of rehearsals.
  7. Respond to conductor and musician requests, problems and issues arising out of or in connection with an imminent service in a manner consistent with past practice, the Master Agreement, and FSCA standards; communicate such events to the Executive Director in writing as soon as possible for collaboration and final approval of action to be taken.
  8. Coordinate changes in seating in accordance with Master Agreement, on-call musicians, and engagement of last minute substitutes due to unscheduled absence or tardiness.
  9. Make personnel announcements at rehearsals as required.
  10. Arrange for appropriate personnel to be present at rehearsals, concerts, and auditions.

Concert Production:

  1. Supervise concert production activities of the orchestra, including equipment rental, staging requirements, and other logistical arrangements.
  2. Coordinate activities with Artistic Operations Coordinator (AOC), Orchestra Librarian, office personnel and artistic staff.
  3. Working with AOC, supervise orchestra setup for rehearsals and concerts, and coordinate with Music Director regarding special setup requirements.
  4. Check all preparations, inform orchestra personnel or stage technicians of any last-minute changes and determine actual starting time of concerts.
  5. Confirm logistical arrangements with recording engineer for any taping of concerts and arrange for recording equipment.

Scheduling:

  1. Collaborate with Executive Director and Music Director to achieve artistic goals, maximizing services for financial benefit.
  2. Collaborate with Executive Director and other designated staff in long range planning recommendations for the Association; prepare budget projections as needed.
  3. Provide each musician on the roster with current rehearsal and concert schedules and a list of works to be performed at upcoming concerts.

Auditions:

  1. Collaborate with the audition coordinator as needed.

Administrative Responsibilities:

  1. Collaborate with the artistic staff in planning the program.
  2. Serve as part of the management team to assist the Executive Director in implementing administrative and artistic policies established by the Board.
  3. Prepare annual individual musician contracts.
  4. Assist with the development of budget projections for orchestra musician expense.
  5. Ensure that staff musicians and extra/substitute players receive timely and accurate compensation.
  6. Secure and submit necessary information and paperwork for personnel payment including the completion of attendance sheets for each service; ensure timely distribution of checks and resolve any financial discrepancies with the Assistant to the Executive Director.
  7. Adhere to financial budgeting limits prescribed in all areas of responsibility as directed by the Executive Director, including audition expenses, doubling fees, and extra players.
  8. Provide updated personnel information to the FCSA office in a timely manner.
  9. Provide personnel list for concert programs.
  10. Advise Executive Director regarding interpretation of and adherence to all contracts consistent with general professional orchestra practice, FCSA policy, the Master Agreement and individual musicians’ contracts.
  11. Advise Executive Director regarding performing conditions.
  12. Perform other associated duties as assigned by the Executive Director.
  13. Assist in the development, implementation, and monitoring of the orchestra’s artistic objectives.
